openDesk 1.18 - Shared Mailboxes and improved collaboration

With openDesk 1.18.0, we have released one of the most comprehensive updates in recent times. A particular highlight worth mentioning here is the shared accounts feature for emails and calendars.

Mail and Calendar

Having already laid the groundwork for this feature in Open-Xchange 8.48, we have now finally been able to activate the long-awaited shared accounts feature for openDesk with the update to version 8.51. These can be shared by users and used as additional accounts. This greatly improves collaborative work within openDesk.

Furthermore, the function for sending messages at a delayed time has been expanded and provided with additional options. This means that, in addition to the ‘send in the morning’ option, there are now other quickly selectable options available to set up delayed sending more efficiently.

Another notable feature is that users can now display tasks with a defined due date directly in the calendar. These are then created in a separate, opt-in calendar. Also new in the calendar is the option to enlarge the column for all-day appointments, so that multiple all-day appointments can be displayed in full.

Projects

With OpenProject 17.7.2, openDesk receives a comprehensive update that focuses on new features for organisational and resource management.

Users can now be organised hierarchically into departments within the administration section. In addition, organisation-specific attributes such as job titles, core competencies or languages spoken can be recorded. This allows relevant information about staff to be recorded and managed in a structured manner directly within OpenProject. Furthermore, individual work schedules can be set up for specific users, including working hours, availability and future changes.

Backlog and sprint planning has also been further improved. Optimised drag-and-drop functionality makes it easier to organise work packages, whilst existing work packages can now be more easily assigned to sprints or backlog buckets. New features are also available for organisations working according to PM² or PMflex: work packages can be exported as PMflex artefacts in PDF format. Furthermore, such artefacts can be generated automatically as soon as a work package reaches a predefined status.

Another new addition is a project timeline widget for the project overview. It visualises the current project phase and enables project managers to assess a project’s timeline and progress more quickly.

File editing

Writer nowfeatures significantly enhanced review and document editing capabilities. Document versions can now be compared in much greater detail: insertions, deletions, moved content and changes to images and tables are displayed, along with the author and date. This is complemented by more robust change tracking, a revamped review pane and a new restricted review mode, in which users can accept or reject changes without being granted further editing rights. For lengthy documents, there is also a multi-page view and a search function in the navigator.

Another new feature is the comprehensive Markdown support in Writer. Markdown files can be imported and displayed in formatted form, and Writer documents can be exported as Markdown. Copy and paste of Markdown and template-based conversion for automated workflows are also supported. When exporting to PDF, comments can now be displayed either as annotations or visibly in the margin, ensuring that review comments are retained even outside of Collabora.

Calc has been improved, particularly in terms of collaborative working and data processing. In shared spreadsheets, users can now utilise personalised views with their own filters, as well as hidden or visible rows and columns, without altering other users’ views. Pivot tables support calculated values, new table styles improve formatting and XLSX compatibility, and numerous new functions such as CHOOSECOLS, TEXTSPLIT, HSTACK, VSTACK and TAKE expand the possibilities for data preparation. Formula errors are also displayed directly in the affected cell and can be investigated from there.

Files

Nextcloud 33 brings numerous improvements to file management, search and sharing. Navigation through folders has been optimised, and the handling of large or externally stored files in particular has been made more efficient.

Behind the scenes, Nextcloud 33 includes numerous performance, stability and administration improvements.
